Real time reporting on the Key Performance Indicators in plant and fleet

At the core of the bureau service is Unifleet which is Uniqco’s own web based plant and vehicle management reporting system, developed specifically for local government. Unifleet uses council’s own data to report on the key performance indicators needed to effectively manage the fleet. With Unifleet in place, Uniqco is also able to monitor performance remotely against the fleet KPIs and undertake offsite auditing.

Through Unifleet we provide quarterly audit reports from the data provided by the client. We make recommendations on action plans and provide a report summary suitable for submission to senior management.

Unifleet delivers programmed (scheduled) maintenance reports and a consistent reporting approach for council. Our management reporting enables the ability to significantly better manage the fleet and highlight opportunities for productivity improvements and cost savings.

What is Unifleet?

Unifleet is not a typical mainframe-based software program. Rather, it is an individual database application created on a secure website, and managed by individual clients using their own plant and fleet data. Unifleet uses your financial, fuel and service data to capture:

  • costs
  • plant income
  • mileage
  • maintenance records.

Using a unique login to access your data on the Unifleet website, information can be updated, new assets added and old assets archived. Fuel and financial data is uploaded using files exported in Excel, CSV (Comma Separated Values) or TDL (Text Delimited) format from your existing financial and fuel systems – there is no double keying.

Asset maintenance details, such as service and repair information, are entered directly into the Unifleet website, enabling you to extract a comprehensive suite of reports on key performance indicators for best practice fleet management.

Much of the data required for Unifleet is already being collected by the client. All asset details need to be loaded into Unifleet – registration, VIN and chassis numbers, fuel type, options, service details and intervals, internal hire rates and projected timesheet hours.

From existing data in the financial system we would require export files on a monthly basis that include costs and timesheet hours by plant numbers and registration numbers if applicable. From existing fuel records we would require a consistent format XL (for bulk issues) sheet either weekly or monthly and a weekly data export from your fuel card supplier.

From the mechanical maintenance perspective, the mechanic or responsible administration person is required to provide workshop job cards which we will enter directly into Unifleet. This is also required from external service providers. The job cards provide details of downtime, maintenance failures and service and repair history. By providing this information your organisation will be meeting the maintenance documentation requirements of an accredited maintenance system.
